Following are policies regarding Pacers Events owned events. Please refer to event websites for non-Pacers owned events. We reserve the right to alter, change, add, or delete any race policies at any time without warning.

REGISTRATION POLICIES

Entry Fees/Refunds
All entry fees and registrations are non-refundable and non-transferable.

Tax Deductions
Pacers Events LLC is a for-profit corporation. Your entry fees cover the expenses of the event and you receive tangible/non-tangible goods in exchange for your registration fee (e.g. premium, safe closed and certified course, timing tag and scoring, post-race food, entertainment). Typically, only donations above the registration fees that are made directly to the charity are eligible for tax deductions, however, you should confer with your tax professional.

Transfers
Entry fees are non-transferable. We do allow transfers for the Parkway Classic per our strict transfer policy for the event. Fees may apply.

Deferments
We do not offer deferments except for the Parkway Classic. You must defer per our strict deferment policy for the event. Registrants are responsible for any price increases or fees.

Active Military Exemption
Prior to race day, we will allow active military with deployment orders to defer to a future Pacers Event. There will be no refund of a difference of the event price and registrants are responsible for any price increases or fees.

WEATHER, SAFETY & CANCELLATION POLICIES

Pacers Events LLC may cancel, shorten, or alter any event or course due to weather, other acts of God, terrorism, or for any other reasons within or not within the control of Pacers Events LLC. All entry fees are non-refundable, and may not be deferred toward a future event.

Rain or Shine
Our races are held rain, snow, sleet, heat, or shine.

Race Delays
Pacers Events LLC, in conjunction with the municipality, reserves the right to delay an event start for any reason, including weather. Typically we will delay up to 30 minutes prior to start if there is lightening. We typically do not delay for heat, rain, or snow.

Course Alterations
Pacers Events LLC may alter a published course at any time and for any reason, including but not limited to road or trail construction, runner safety, municipality requirements, or other items.

Race Cancellations
In the event of extreme weather conditions, Pacers Events LLC, as advised by the Police and Fire/EMS Departments, reserve the right to cancel the race or run it as an untimed "fun run" without advance notice.

If this should be necessary:

  • Participants will receive premiums (in accordance with registration policies)
  • Prizes will be converted to random prizes
  • No entry fee refunds will be made

The final decision regarding the conduct of the race will be made within an hour to a half hour prior to the start of the race and will be announced over the race public address system.

COURSE CUT-OFF TIMES

We are committed to providing opportunities for all people to participate in our events, regardless of speed. However, we must institute course time limits in order to adhere to municipality requirements.

The following are our current course timelines for our events. Please note these can change depending on weather, police availability, and other safety concerns. These changes can happen as late as prior to/during the event, although rare. In all instances, we will do our best to obtain finish times for individuals.

As well, the following time cut-offs are based off of the time the race starts (e.g. gun time) not your start time. If you believe you cannot make the course cut-off time, please e-mail prior to registration so we can determine if we can obtain a waiver for you or if we can arrange an early start.

*Each time is roughly based on a 18 minute per mile pace. Please see each specific event for potential special circumstances regarding cut-off times.

**We have an early start (7:30am) for the Parkway Classic. Please contact if you believe you will need to start earlier than the scheduled time. You must pre-register for the early start.

STROLLER POLICY

We believe a fit family is a happy family and allow strollers on our courses, if the course and/or municipality allow it. However, we do have some requirements: you must start in the back, you may not weave through packs of runners, and you must always yield the right of way to other runners.

Strollers are strictly prohibited at trail races or at any race with a start time after 6:00pm (September - March) or after 8:00pm (April - August).  Special note regarding Fairfax Four: Strollers are expressly prohibited by the Fairfax City Police Department. Any individual running or walking with a stroller will be removed from the course by Fairfax City Police officers. 

Each municipality has their own rules related to strollers; in some instances they are strictly prohibited in races. In this case, the municipality policy which will supersede our stroller policy.

PET POLICY

Dogs on 5 foot, non-retractable leashes are permitted at limited Pacers Events.

Pets are welcome at events that MEET ALL OF THE FOLLOWING CRITERIA:

  • 5K or shorter distance races
  • Events with less than 1500 registrants/finishers (based on prior year finisher results)
  • Races held in Arlington County
  • Events held in the morning
  • Races held on roads with multiple lanes (exemption: Lost Dog 5K series).

Dogs must be friendly, be up to date with shots, and have no history of fighting or biting. Pet owners take full responsibility for the behavior of their pet. Pet owners must start towards the back, may not weave through packs of runners, and yield the right of way to other runners. Pet owners must also clean up after their pet.

Pets are strictly prohibited at the Parkway Classic 10 Mile and 5K.

PHOTO POLICY

By registering for our events, you agree to the use of your name and photograph in broadcasts, newspapers, brochures, and other media without compensation.

From time to time, we allow complimentary download of photos from events. These photos are the property of Pacers Events LLC through a license agreement with Swim Bike Run Photography and may not be used for non-personal use without the express written consent of Pacers Events LLC and Swim Bike Run Photography.

BANDITS/NON-REGISTERED PARTICIPANTS ON COURSE

Individuals who participate in our events but who are not properly registered are strictly prohibited and will be ejected from the course. Please do not participate if you are not properly registered; you will disrupt the event for individuals who have taken the appropriate steps to register properly.

If you require a guide or a coach on course, please contact at least four weeks prior to the event. We will do our best to accommodate your request.

REGISTRANT WAIVER

All participants are required to sign a release. A copy of our standard release is provided below: ALL PARTICIPANTS IN ROAD RACES CONDUCTED BY PACERS EVENTS, LLC AND THEIR RELATED EVENTS (?EVENT?) ARE REQUIRED TO, AND HEREBY DO, ASSUME ALL RISK OF PARTICIPATION IN THE EVENT BY SIGNING THIS GENERAL RELEASE AGREEMENT: The undersigned athlete (?Athlete?) on behalf of himself/herself and on behalf of Athlete?s personal representatives, assigns, heirs, executors, and successors hereby fully and forever release, waives, discharges and covenants not to sue Pacers Events, LLC, Pacers Running Stores, Farley Enterprises, its affiliated corporations and charities, the host city, county and state, RRCA, any and all municipal agencies whose property and/or personnel are used or in any way assist, all sponsoring or co-sponsoring companies or individuals related to the Event, together with their officers, directors, shareholders, successors and assigns (collectively, ?Releasees?) from all liability to the Athlete and his/her property or resultant death, whether caused by the active or passive negligence of all or any of the Releasees or otherwise, in connection with Athlete?s participation in the Event. Athlete represents and warrants that he/she is in good physical condition and is able to safely participate in the Event. Athlete is fully aware of the risks and hazards inherent in participating in the Event and hereby elects to voluntarily participate, knowing the risks associated with the Event. Athlete hereby assumes all risks of loss(es), damage(s), or injury(ies) that may be sustained by him/her while participating in the Event. Athlete agrees to the use of his/her name and photograph in broadcasts, newspapers, brochures, and other media without compensation. Athlete acknowledges that the entry fee paid is non-refundable and non-transferable. Athlete acknowledges and agrees that Pacers Events, LLC, in its sole discretion, may delay or cancel Event if it believes that the conditions on the race day are unsafe. In the event the Event is delayed or canceled for any reason, including but not limited to: fire, threatened or actual strike, labor difficulty, work stoppage, insurrection, war, public disaster, flood, unavoidable casualty, acts of God or the elements (including without limitation, rain, hail, hurricane, tornado, earthquake), or any other cause beyond the control of Pacers Events LLC, there shall be no refund of the entry fee or any other costs of Athlete in connection with the Event. Athlete hereby grants to the medical director of the Event and his/her agents, affiliates, and designees, access to all medical records (and physicians) as needed and authorizes medical treatment as needed. Athlete understands that he/she has the right to refuse medical care and advice of Event medical directors and representatives; if Athlete?s medical condition becomes such that Athlete?s mental capacity is questioned, the physician has the right to recommend and initiate treatment of Athlete. Athlete agrees and understands that Athlete hereby assumes liability for any and all medical expenses incurred as a result of training for and/or participation in the Event, including but not limited to ambulance transport, hospital stays, physician and pharmaceutical goods and services. Athlete warrants that all statements made herein are true and correct and understands that Releasees have relied on them in allowing Athlete to participate in the Event. ATHLETE HAS READ THE FOREGOING AND INTENTIONALLY AND VOLUNTARILY SIGNS
